Count the phone calls, beside every form your site takes.

Paste a CallRail API key and every tracked call arrives on your Leads tab as a row: who called, when, from which source, answered or missed, and whether they had called before. Your form leads and your calls sit in one list, so the phone stops being the channel nobody can count.

What does each call look like on the Leads tab?

Each tracked call in CallRail becomes one row, newest first, for the last 90 days. The row carries the time of the call, the caller's name and number where CallRail has them, the city and state, and a line that reads answered with the length of the call, or missed. A caller CallRail marks as first-time says so on the same line. The landing page they called from is kept with the row, and the source reads Call followed by the source name CallRail recorded, such as the ad or the listing that showed the number.

A missed call is a row too. That is money spent on a ring nobody answered, and it belongs on the list as much as the call that booked a job.

Why put calls in the same list as form leads?

Because a service business gets as many customers on the phone as through a form, and a list that counts only one of them undercounts the work your marketing did. With CallRail connected, the Leads tab holds both: the submissions your site's forms send and the calls your tracking numbers caught, read at the same time and merged newest first. A form row says it came from a form; a call row says Call and the source.

That is the question you actually want answered: which source brought in the people who reached you, whatever way they chose. The source on a call is the one CallRail recorded, read as written. See the Leads view.

How do I connect CallRail?

Paste one API key. In CallRail, open your name at the top right, choose API Keys and create one. On the Integrations tab, paste it into the CallRail card and press Connect. TruLata checks the key against your CallRail account before it saves anything, and a key that does not work is never stored; the card tells you why in a plain sentence. Once it is saved, the card shows Connected with your CallRail account name.

The account owner or an admin of your TruLata account connects it. On an account our team runs for you, we connect it with you during setup.

  1. Create a keyIn CallRail: your name, API Keys
  2. Paste itThe CallRail card on Integrations, then Connect
  3. Checked firstA key that does not work is never stored
  4. ConnectedYour CallRail account name on the card

What happens to the key I paste?

It is stored encrypted and never sent back to a browser, yours included. TruLata uses it to read your calls and nothing else: the connection reads the call list and the account it belongs to. Calls are routed, recorded and managed in CallRail itself, and call recordings are not played or stored on the screen today.

Press Disconnect on the card and the key is deleted. Revoke the key in CallRail and the read stops at once. Either way the connection is yours to end, and nothing about your CallRail setup changes in between. The Security page lists every write path.

How fresh is the call list?

Live. The Leads tab reads CallRail each time the page asks for its leads, so a call CallRail has logged is in the next read. If CallRail does not answer, that read records CallRail as a source it could not reach rather than counting zero calls, because unknown is not zero.

Every other source on the screen keeps its own clock: your CRM, your forms and your email statistics are live, Google Ads and GA4 run hours behind, and Search Console runs two to three days behind. See the ceiling for every source.

FAQ

Questions, answered.

Does TruLata integrate with CallRail?

Yes. Paste a CallRail API key on the Integrations tab and every tracked call from the last 90 days lands on your Leads tab with its source, answered or missed, and whether it was a first-time caller.

Do missed calls show up?

Yes. A missed call is a row on the Leads tab, marked missed, with the same source and time as an answered one.

Can I listen to call recordings in TruLata?

Recordings stay in CallRail today. The Leads tab shows the call itself: time, caller, source, answered with its length or missed.

Where do I find my CallRail API key?

In CallRail, open your name at the top right and choose API Keys. Create one and paste it into the CallRail card on Integrations; it is checked against your account before it is saved.

Can TruLata change my CallRail settings?

The connection reads your calls and your account name. Tracking numbers, routing and recordings are managed in CallRail itself.

Which tier includes the CallRail connection?

Calls arrive on the Leads tab once CallRail is connected on your account. The pricing page lists what each tier includes.
