Use cases

Know which search or referral booked the evaluation, clinic by clinic.

Built for a physical therapy practice with one clinic or several, whoever runs the marketing. TruLata reads your Google accounts, each location's Business Profile reviews and the evaluation requests from your own site's forms, runs the watching and the drafting on a schedule whether anyone is at the front desk, and shows you what each request became.

Is this built for a physical therapy clinic?

Yes. TruLata is built for a physical therapy practice that treats patients across a catchment, and a practice with several clinics fits the same way, each location read on its own. The marketing usually falls to the clinic director between patients, to the owner therapist after the last visit of the day, or to a regional manager who also runs the schedules; a practice with a marketing lead gets the same screen to report from. The search, the ads, the content and the counting run on a schedule whether anyone had time this week, every evaluation request is counted from your own site, and one screen shows what happened and what it cost.

Your patients arrive by two roads. A physician referral starts in an orthopedic or primary care office, and the patient often gets to choose where to take it: they search on a phone, look for the clinic nearest home or work, and read the rating and the first few reviews. Direct access starts with the patient, where your state allows it: a runner with a sore knee, a parent with a stiff back, someone who wants to be seen this week without waiting on a referral first. Either one, when it comes through your own site's form, is yours alone, written to your lead sheet the moment it lands.

The year shapes both roads. The calendar shapes both roads: deductibles reset, sports seasons start, and patients who have met their deductible want their visits in before it resets. So the screen puts each evaluation request in front of the front desk at the right clinic the day it lands, with the page it came from one click away, and asks one question when you are done with it: what did it become.

What does the screen read for a physical therapy clinic?

It leads with evaluation requests. When someone submits the request form on your site, the form handler appends the row to a lead sheet server-side and emails your team, and the Leads view reads that sheet newest first, with the request type and the clinic on each row. Where your site gives each clinic its own page, the row already names which location the request came from, and where the form asks whether the patient has a referral, the answer is written to the sheet with the rest of the submission. Mark each request from the screen, contacted, quoted, won or lost, or not a lead with the reason, an existing patient, spam, a wrong number or out of area. Won is the patient who came in for the initial evaluation, and the mark stays on the row.

Google Business Profile gives reviews, rating and listing performance through a manager invitation you can revoke, one listing at a time, so each clinic's rating stays its own; the reviews card sits on the search view. Search Console gives the queries you appeared for, impressions, clicks and average position, two to three days behind; for a practice those queries are the condition, the service and the town, and the positions are Search Console's own averages, not a rank tracker. GA4 adds sessions, sources, pages and key events, hours behind intraday. Google Ads shows spend, conversions and cost per conversion by campaign, so where each clinic runs its own campaigns, each clinic's cost per conversion is its own row, and a watch reads every mapped account's change history at 7:05 Eastern.

Where your practice runs on a CRM or booking platform, the Jobs view reads what it records live, and shows a coming-soon card rather than a number until the data is trustworthy. Every source here is a marketing or lead record. Patient charts, plans of care and visit notes stay in your practice-management software; where that software has an API, what it connects for marketing is scoped with you during setup. Card data is never read, your inbox and calendar stay outside the screen today and connect during setup where your engagement calls for them, and a phone call to a clinic counts as a request when your CRM or booking platform records it, or through a call-tracking platform connected during setup. The page loads last night's snapshot the instant you open it and pulls live numbers behind it when that snapshot is older than five minutes.

What runs while your therapists are with patients, and what waits for a person?

Every mapped Google Ads account is watched every morning, not only the first. At 7:05 Eastern the ads change watch reads each account's change history and its user list, sets our own writes and routine noise aside, and raises a material change made by anyone else the same morning, including a recommendation Google applied on its own. A setting switched on under a clinic manager's login, or a new address given access, reaches the team the next morning rather than at the end of the month. Where we manage your search campaigns on all tiers, a budget or bid change is made within the limits set for your engagement and lands in the account's own change history, so shifting spend toward the clinic with open evaluation slots is a decision with a record behind it.

On Command, the outbound engine sources prospects weekly to the target profile set with you, which for a physical therapy practice can be the physician offices that refer: orthopedic surgeons, primary care, sports medicine, plus the employers and school athletic programs near each clinic. It finds a deliverable address for each one or routes it to a contact-form path, and drafts an opener into a review-first queue; a person releases each send, or the queue releases on the schedule set for the engagement, and every send is logged with the draft, the mailbox and the time. Replies are classified and shown, and not-interested or bounced addresses are suppressed from further sends.

On Launch, Growth and Command, the content engine researches and drafts, on your cadence, the articles a patient reads before booking: what happens at a first physical therapy evaluation, whether you need a referral to be seen, how many visits a plan of care usually runs. Each topic passes a demand gate on real search volume and what already occupies the result page, the research cites current sources, the dedupe reads the titles already published on your site, and each piece is filed as a Google Doc in your Drive with a featured image. Auto-publish is a per-client setting and approval is optional, which matters when a clinical director reads every clinical sentence first. On Growth and Command, Meta ads run alongside search. Every day at 7:20 Eastern, where your forms feed the sheet, the lead watch runs five checks across the sheet, GA4 and Ads, so a dead tag, a blind ad account or a stalled form is flagged the next day. Every night at 12:01 Central a fallback snapshot is baked, and a failed pull leaves the previous page up.

What stays with a person is the judgement: the limits on spend, and anything that answers a patient. A budget or bid change is made within the limits set for your engagement. A content piece with auto-publish off waits as a draft until someone approves it. Appointment reminders and messages to current patients stay with your practice software today. From the screen you can set a lead outcome, request a website change, and request a content, keyword, category or targeting change; each lands with the team as a logged ticket, and the engine's writes to your ad accounts and your site go through their APIs and land in each account's own change history.

Can I see it before anyone contacts the practice?

Yes. Open the demo at demo.trulata.com. It opens with your name and email, and the follow-up is an email, not a call. It runs on a fictional company called Meridian, every number in it is illustrative, and it is the same engine code every client dashboard runs. Open the Leads view, the Google Ads view and the search view, and you are looking at the screen a physical therapy practice gets, with your sources in place of Meridian's.

Then read it against your own practice. You treat patients from the towns around your clinics, they reach you through a physician's referral or on their own, and someone carries the marketing between patient visits and schedules. That is the practice the product is built for, one clinic or twelve; the multi-location page shows how each location stays readable on its own instead of folded into a total. Part of it runs on your own numbers during setup: the first pull, the answer-engine baseline and the ads watch run on your accounts in the first two weeks, before most of the engines are switched on.

Read the search view the way it is built. Ranking is not earning, and a position there is Search Console's average for that query rather than a rank tracker's guess. A position is not an evaluation on the schedule. That is why the screen counts the requests your own forms took, clinic by clinic, and why proving which dollar made the phone ring starts from your own records.

Which tier fits a physical therapy practice?

Starter includes the TruLata dashboard, full analytics, leads, search visibility, the AI visibility program, managed Google Ads search, the assistant and briefings and support tickets. The content engine runs on Launch, Growth and Command. Meta ads run on Growth and Command. The outbound engine, the one that sources referring physician offices, runs on Command. Command adds the outbound engine, ad creatives and your full marketing team, always on, is scoped per engagement and carries no number on this site.

Seats are three on Starter, three on Launch, ten on Growth and unlimited on Command, which is the number to check for a practice where each clinic director signs in. Starter is $400 a month, Launch $650, Growth $1,200, and Command is scoped per engagement. Every tier is month to month with nothing metered, and an annual commitment takes twenty to twenty-five percent off the monthly. The pricing page carries the same figures.

Can your team run it for my practice?

Yes. Command adds the outbound engine, ad creatives and your full marketing team, always on, scoped per engagement, and the managed strategy retainer sits on top of any tier with strategy, optimization and the approvals on our side, scoped with you. Every change we make lands in each account's own change history, which the same 7:05 Eastern watch reads and sorts as ours. The managed page covers both.

TruLata is also a marketing services firm, and the software sits beside that work. If you want the work done as a service rather than run as a system, local services marketing is the hub, with search and paid search underneath it. The other trades the product is built for are on the industries page.

What this page holds to

A phone call to a clinic counts as a request when your CRM or booking platform records it, or through a call-tracking platform connected for your instance. Patient charts, plans of care and visit notes stay in your practice software, card data is never read, and your inbox and calendar stay outside the screen today and connect during setup where your engagement calls for them. Positions are Search Console's own averages. Every evaluation on the screen traces to your forms or your CRM.

FAQ

Questions, answered.

Can each clinic be read on its own?

Yes. Each Business Profile listing gets its own row in the connection map and is read one listing at a time, so one clinic's reviews and rating stay its own. Where each clinic runs its own campaigns, its spend and cost per conversion sit on their own campaign row, and where your site gives each clinic its own page, the lead row names the location. <a href="/product/use-cases/multi-location-multi-truck">The multi-location page</a> covers the setup.

Can I tell a referral from direct access?

Where your request form asks whether the patient has a referral, or who referred them, the answer is written to the sheet with the rest of the submission and read on the lead row. The outcome you set on each row, contacted, quoted, won, lost or not a lead, stays on it, so you can count initial evaluations by road.

Do you count calls to the clinics?

A phone call counts as a request when your CRM or booking platform records it, or through a call-tracking platform connected for your instance during setup. The requests the screen counts are submissions from your own website forms, written to a sheet server-side as they land and read newest first, plus what your CRM or booking platform records.

Does it read patient records?

The sources are the ones on this page: your Google accounts, each clinic's Business Profile, your website forms, and your CRM or booking platform where the practice runs on one. Patient charts, plans of care and visit notes stay in your practice-management software; where that software has an API, what it connects for marketing is scoped with you during setup. Card data is never read.

What do we have to connect?

Manager invitations on your Google Analytics property, your Search Console site, your Google Ads accounts and each clinic's Business Profile listing, each one revocable in your own console. Our team connects your CRM or booking platform, Stripe, your email platform and your website forms from the inside with the access you grant during setup, and we never hold your passwords.
